We encourage you to place our signs in the new homes you are building and recommend your advertising materials have our logo. A new home warranty is a great selling feature, so letting customers know you belong to our Program will only help you. If you don't have any signs, stop by our office between the hours of 8:30 a.m. and 4:30 p.m. to pick some up - we have lots! If you need our logo, contact Lori at the office and she will send it to you via e-mail or on disk.

When you joined, we likely added your company information to our website. If you haven't already done so, check our Builder Members page to see if your company information was added correctly. If we added a link to your website, don't forget to add us to your webpage too! Contact us if you would like to use our logo on your website.

How does free advertising sound? For our Builder Members who do not have there own website, we are offering to create a one-page description of your company which may include your logo, contact information, and anything else of importance. What better way to give your company more exposure?! This page will be linked from your contact information which already appears in our Builder Member directory. So, if you haven't already done so, send us all the information you would like on your company page, formatted in the manner you would like it to appear. If you have a logo you would like on the page, please send it via e-mail or on disk in GIF, JPEG, or PNG format. If you have any questions, please contact Lori.

About Enrollment Forms

We have been receiving enrollment forms in our office that are missing information. Remember that this only slows down the enrollment of your home. If you have questions on filling in enrollment forms, please feel free to contact the office.

Please remember to submit your forms on time. Any enrollment submitted later that 61 days past the date the permit was issued, incurs a $30.00 late fee.

About Possession Certificates

The Certificate of Possession and New Home Warranty is a very important document. It is good practice to go over the warranty with the homeowners long before you begin negotiations over the purchase. Remember that this is an added selling feature - one that will add to the comfort of a prospective purchaser. When you and the homeowner are doing your final walk-through of the home just prior to possession, we recommend you fill in the Possession Certificate at the same time. Make this part of your closing routine. Remember that both you and the purchasers must sign and date the certificate. This works best when you do it at the same time rather than mailing the certificate to them to complete on their own. **It is the responsibility of the Builder to provide the Program with a duly executed certificate.

Take your time to ensure that ALL information is correct before sending the certificate to our office. Below are some important notes to consider:

  • Street Address - If the home does not have a 'civic' address, please provide the 'rural designation'. (example: NW 12-4-23 E)
  • Postal Code - We will need this too. We need a full mailing address so we can send the new homeowners an informational package.
  • R# - This is your Registered Builder Number
  • Enrollment # - This is the 'H#' or Home# which is assigned by the Registration Clerk of the Program and can found on the bottom left hand corner under 'for office use' on the corresponding enrollment form.
  • Enrollment Date - This is the date the Registration Clerk processes the home's enrollment and can be found on the bottom left hand corner under 'for office use' on the corresponding enrollment form.
  • Possession Date - IMPORTANT - This date will determine when the warranty begins on the home and therefore it is imperative that it is filled in. Make sure you have filled in the correct date as the Program cannot arbitrarily change a date once it has been assigned. If you miss filling in this date completely, we will send the Possession Certificate back to your office to complete.
    NOTE: If we do not receive a certificate for an occupied home and the homeowner makes a claim, the Program may fix a date of possession which shall be deemed binding on the homeowner, the Builder and the Program.
  • Items to be corrected - If there are any warranty items to be corrected at a later date, they should be noted directly on the certificate. You may attach a seperate sheet if more space is required.
  • Exclusions - If there is any work or materials to be excluded from the warranty, it should be noted direcly on the certificate. Be specific, to avoid any future confusion. You may attach a seperate sheet if more space is required.
  • Builder Signature/Purchaser Signature and Date - Both parties must sign and date the certificate. Should either signature be missing or in question, we will send the certificate back to your office.

Do you have any Unoccupied Inventory?

If you have outstanding Possession Certificates, please forward them to the office. When we do not have a certificate on file for a home, it remains listed as unoccupied in our database - even if you have sold that home years ago. This not only can affect your yearly renewal, but causes confusion when customers call in regard to their warranty and we cannot locate their certificate. We understand there are certain situations when a home is sold and no certificate is executed. Our office needs to be apprised of these situations so that we may make the necessary updates in our database.
